Overview

We are seeking a meticulous and highly organized Project Coordinator to support project governance, stakeholder coordination, and leadership reporting for strategic initiatives.The ideal candidate will have a foundational understanding of project delivery concepts and the ability to coordinate effectively across teams. This role will help maintain project cadence by scheduling calls, preparing and tracking action items, maintaining project trackers, consolidating updates, and supporting leadership-ready reporting.Knowledge of process design, process documentation, or workflow improvement is an addedadvantage.

Roles and responsibilities

• Schedule project meetings, governance reviews meetings, working sessions, and stakeholder calls; coordinate availability, agendas, materials, and follow-ups.

• Prepare meeting agendas, capture meeting notes, document key decisions, and maintain action item logs through closure.

• Maintain project trackers, milestone trackers, RAID logs, decision logs, dependency trackers, deliverable trackers, and other project artifacts as required.

• Consolidate inputs from workstream owners and stakeholders to prepare accurate, timely, and leadership-ready project status reports.

• Support project governance by helping maintain operating cadences, reporting timelines, documentation standards, and escalation follow-up.

• Coordinate with business, technology, vendor, and leadership stakeholders to track deliverables, dependencies, approvals, and open items.

• Assist in preparing executive summaries, dashboards, presentation materials, and project health updates for leadership review.

• Organize and maintain project repositories, ensuring relevant documentation is current, accessible, and version controlled.

• Proactively follow up with stakeholders on pending actions, upcoming deadlines, missing inputs, and risks requiring attention.

• Escalate unresolved items, blockers, and coordination challenges to the Project Manager, Program Manager, or project leadership as appropriate.

• Support process documentation, process mapping, workflow definition, and continuous improvement activities where needed.

Qualifications required

Should have a Bachelor’s degree or equivalent professional experience.

Must-Have:

• 2–4 years of experience in a Project Coordinator, PMO Analyst, Operations Coordinator, Delivery Coordinator, or similar coordination-focused role.

• Basic understanding of project lifecycle concepts, project governance, meeting cadence, milestone tracking, and status reporting.

• Experience maintaining trackers, action logs, RAID logs, project schedules, dashboards, or reporting packs.

• Strong proficiency in Microsoft Office tools including Excel, PowerPoint, Outlook, Planner, Project and Teams.

• Ability to coordinate across multiple stakeholders and follow up effectively on actions, decisions, and dependencies.

• Strong written, verbal, and presentation communication skills.

• Attention to detail, strong documentation discipline, and ability to maintain accurate project records.

• Ability to manage multiple priorities, work on multiple assignments, and raise concerns/questions where appropriate.

Good-to-Have:

• Exposure to PMO, technology transformation, operations, or business process initiatives.

• Experience creating leadership dashboards, executive summaries, or governance reporting materials.

• Knowledge of process design, process mapping, SOP documentation, workflow improvement, or process governance.

• Familiarity with tools such as ServiceNow, SharePoint, Teams or similar collaboration/project tracking platforms Initiative-taking and strong collaborator.

• General knowledge of GenAI tools (like Microsoft CoPilot and Claude) and the curiosity to learn more as the GenAI tools evolve.
